Volunteer as a committee member and make a difference in Rye Beach.


RBPOA Committees 2024 - TAKING VOLUNTEERS


Membership Committee:

Note: Secretary and Treasurer must serve on this committee. 

Members:  Brad Ruth

Responsibilities: maintaining records of all lot owners, assisting with collecting dues and issuing certificates of membership.


Publishing/Website/Facebook Committee:  

Chair: Amber Newcomer 

Members: Walt Schmidt

Responsibilities: Keeping communication platforms up to date. (Website; Facebook; Park Sign)


Maintenance/Security Committee:

 Members: 


Responsibilities: the protection and maintenance of the Association's real and personal property.


Social Fundraising Committee: 

Members: Karen Avery

Responsibilities: arrange fund raising events that will include public participation, plus, social gatherings for Paid Members and their families.

Nominating Committee: 

Members: (only one Board Member can be on this committee) 

Responsibilities: identifying a slate of officers before each election with at least one candidate for each position that is scheduled to be filled. 


Audit Committee: 

Members: 

Responsibilities: inspecting and approving the financial records of the Association.


Budget Committee: 

Note: Treasurer must chair this committee.

Responsibilities: prepare an annual budget


Legal Committee:

Members: 

Responsibilities: creates communication with Membership and Maintenance/Security Committees regarding legal issues.


By-Laws Committee

Members: 

Responsibilities: review current By-Laws; if changes are needed, make recommendations for amendments to the By-Laws for the Board and Community approval; make sure revised By-Laws are recorded in Secretary of State 


RBPA Board Responsibilities and Requirements

General

Currently all positions are voluntary.

There are no term limits for officers.

A quorum of at least 6 officers and Trustees must attend each meeting.

Officers or Trustees missing 3 consecutive regular meetings may be replaced.

Due to the current climate, Officers may be required to have security checks and bonds.

Officers

President: Preside at the meetings and decide questions of order, offer consideration for motions, call special meetings, and appoint necessary and standing committees.  Elected for a 1-year term.  The president should have leadership/organizational experience and be able to run a meeting in an orderly manner.


Vice President: Perform duties of president if required. Required to serve on at least one committee. Elected for 1 year term. 

The VP should have leadership/organizational experience and be able to run a meeting in an orderly manner.


Secretary: Keep an accurate record of meeting minutes, prepare and file notices required by law (corporate documents, by-laws, regulations, etc.) Maintain all association documents and be responsible for mailing all notices, informing board members of meetings, maintaining a mailing list of members (paid and unpaid), and issuing identification cards. Required to be on the Membership committee and other committees as needed. Elected for a 1-year term.

The secretary should have experience taking notes and maintaining records, and have well-developed organizational skills.


Treasurer: Custodian of all monies belonging to the association, keeps an accurate record of all receipts and expenditures, makes bank deposits, writes checks for items approved by the board, prepares/mails dues invoices and documents dues received, submits a tentative annual budget, and prepares monthly financial reports. Required to serve on the Membership committee and other committees as needed. Elected for 1 year term.

The Treasurer should have a financial background with experience in QuickBooks and spreadsheet creation/maintenance. Time management and organizational skills are highly recommended. 

Trustees

The Backbone of the Association. Distribution of notices and newsletters; perform other duties and responsibilities. Required to chair or serve on at least on committee and others as needed. Terms are 1 year.

Committees

We rely on our volunteers to help organize events, maintain our community spaces, and serve our board of directors. Volunteering is a great way to get involved and make a positive impact in our neighborhood.


Each committee will have at least 3 members consisting of at least one board member and other paid members of the community. At least one member from each committee is required to attend/report at each meeting. There are currently 9 committees:

Committee Members should have organizational skills and be able devote a reasonable amount of time to the Association, especially when their committee is active.
